Pleiade Enrollment Policy for Coaching Fundamentals Program

Our enrollment policy outlines the process and criteria for individuals interested in enrolling in our coaching education programs. Our enrollment policy is designed to ensure fairness, transparency, and alignment with ICF standards.
Success in our program requires full commitment by all participants. By enrolling in this course, participants agree to being fully present during all sessions and participate to the best of their ability. This includes arriving on time, abiding by the code of conduct, and engaging in course activities

Here are the key components of our enrollment policy:

  1. Intended participants: Our coaching education programs are open to individuals who are willing to become professional coaches, or for business owners, leaders, managers, team leaders, Human Resources specialists, personal and professional development consultants, people willing to better understand themselves and their teams.
  2. Application Process: Prospective participants are required to complete an application form, which includes providing name and email and scheduling a 30 minutes conversation (phone or Zoom) with our Director of Training, to confirm a fit with applicant's goals and interest. The call includes:
    • questions to assess the applicant's motivation, commitment, and readiness for the coaching education program
    • a description of Pleiade approach in the coaching education program:
      • time spent on theoretical and practical learning activities in synchronous modules,
      • minimum asynchronous time effort per week for each participant,
      • attendance:
        1. In order to provide the participant with the minimum required training hours for certification, it is important they participate in all course modules;
        2. In case of an emergency or illness, the participant will notify the instructor they cannot attend a course module. They will be expected to complete the session materials, review the session recording, and complete the coaching practice sessions, as required in student materials. If you need to miss more than 15% hours of the course, you will have the option to work with the instructor to cover the missed material at your own expense or register for another course. If you miss more than 5 hours of group mentor coaching, you will need to arrange and pay for individual mentor coaching sessions to complete the required 10 hours of mentor coaching to satisfy the International Coaching Federation requirements.
      • course engagement: Our courses are designed to be interactive and engaging for our participants. It is therefore an expectation that you participate in course activities, including dialogue with the course instructor and peers, practice coaching activities, and experiential learning exercises. If you are unable to participate in an activity, please inform your instructor as soon as possible.
      • code of conduct: Participants are expected to conduct themselves in a professional manner during all sessions. This includes, but is not limited to:
        1. Arriving on time to all sessions.
        2. Attending all live sessions and mentor coaching sessions.
        3. Having your camera on for virtual live sessions.
        4. Participating fully in all sessions and mentor coaching sessions. This includes being prepared for the session, involving yourself in discussions and activities, assuming responsibility for your learning, and contributing to the learning of others.

  3. Admission Decision: The admission decision will be based on the applicant's motivation, commitment, and alignment with the program's objectives and approach. Applicants will be notified of the admission decision within 7 days.
  4. Program Capacity and Enrollment Limits: To ensure an optimal learning experience, our coaching education programs have a limited number of available seats (18 seats). Once the program reaches its capacity, we close enrollment or maintain a waitlist for future intakes. Admissions are processed on a first-come, first-served basis, and applicants are encouraged to apply early to secure their spot.
  5. Tuition and Fees: Our enrollment policy includes information on tuition costs, payment schedules, and any associated fees. Accepted participants will receive detailed instructions on how to complete the enrollment process, including payment deadlines and available payment methods.
  6. Withdrawal and Refund Policy: We have a withdrawal and refund policy in place that outlines the process and conditions for participants who wish to withdraw from the program. Pleiade Grievance Policy

We, at Pleiade Education System, are committed to providing a fair and transparent learning environment, we value feedback from our participants and strive to address any concerns or issues that may arise.

Our grievance policy outlines the process for reporting complaints and seeking resolution:

  1. Reporting a complaint: A participant should first attempt to resolve the issue directly with the educator/trainer, staff, or participant with whom they have an issue. If participants are not comfortable approaching the individual, they can proceed to step 2.
  2. If participants are not comfortable approaching the individual with whom they have a grievance, or are unable to resolve the issue directly, participants should submit a written grievance to the program manager. The program manager will work with all parties involved to resolve the issue.
  3. Confidentiality and Privacy: We treat all complaints with strict confidentiality, ensuring the privacy of the individuals involved. Information shared during the complaint process will be handled in accordance with applicable privacy laws and regulations.
  4. Investigation and Resolution: Upon receiving a complaint, we will conduct a thorough and impartial investigation. This may involve gathering additional information, interviewing relevant parties, and assessing any supporting evidence. Our goal is to reach a fair and satisfactory resolution.
  5. Timelines: We aim to address complaints in a timely manner. While the specific timeline may vary depending on the nature and complexity of the complaint, we strive to provide regular updates to the individuals involved throughout the process.
  6. Resolution Options: Based on the investigation, we will determine the appropriate course of action to resolve the complaint. This may include mediation, corrective actions, additional training or support, or other appropriate measures. Our primary objective is to achieve a resolution that is fair and equitable.
  7. Appeals Process: If a participant is dissatisfied with the outcome of the complaint resolution process, we provide an appeals process. Participants can submit a formal written appeal outlining their reasons for disagreeing with the resolution. The appeal will be reviewed by an impartial party or committee, not involved in the initial investigation, to ensure a fair and unbiased assessment.
  8. Documentation: We maintain records of all complaints, including the details of the complaint, the investigation process, and the resolution. This documentation helps us monitor trends, identify areas for improvement, and demonstrate our commitment to addressing concerns.

  1. Partial Completion Options: We understand that unforeseen circumstances may arise that prevent participants from completing a coaching education program. In such cases, we offer the following options for partial completion:
    1. Temporary Leave of Absence: Participants may request a temporary leave of absence for a specified period. During the approved leave, the participant's progress in the program will be temporarily suspended, and they will have the opportunity to resume their studies at a later date, with a different cohort of students.
    2. Program Extension: Participants may request an extension of the program duration if they need additional time to complete the remaining requirements. The duration of the extension will be determined based on individual circumstances and program availability.
  2. Requesting Partial Completion: Participants must submit a formal request for partial completion, specifying the reasons for their inability to complete the program in its entirety.

The payment schedule will be shared with participants upon enrollment, as part of the program agreement. We aim to provide participants with a reasonable timeframe to fulfill their financial obligations.
  3. Payment Methods: Accepted payment methods: bank transfers.
  4. Late Payments: Our payment/fees policy includes information regarding late payment penalties or fees for participants who fail to meet payment deadlines. Late payment penalties, if applicable, will be clearly communicated to participants upon enrollment, as part of the program agreement, to ensure awareness and encourage timely payments.
  5. Refund Policy: We have a refund policy in place to address participant withdrawals or program cancellations. The refund policy outlines the conditions and deadlines for requesting a refund and specifies any administrative fees or non-refundable amounts. Participants are encouraged to review the refund policy to understand their rights and responsibilities.
  6. Communication and Support: We maintain clear and open communication channels with participants regarding program fees, payment schedules, and financial obligations. Our team is available to answer questions, provide clarifications, and assist participants in navigating payment-related matters.

Pleiade Refund Policy

As a coaching education provider committed to providing a fair and transparent learning experience, we have developed a refund policy that outlines the guidelines and procedures for refund requests. Our refund policy is designed to address participant withdrawals or program cancellations in a fair and consistent manner. Here are the key components of our refund policy:

  1. Eligibility for Refunds: We want our students to be committed and serious when they join our program. For this reason, we have a conversation with each applicant prior to joining our coaching program. It is up to you to confirm fit before starting.
    1. We fully refund any payment if you decide to cancel participation before the start of the program.
    2. If you cancel participation during the program (whether taking an absence leave or definitive withdrawal from the program), the refund amount will be prorated based on the portion of the program completed by the participant.
  2. Refund Request Process: Participants seeking a refund must submit a written refund request, stating the reason for withdrawal or cancellation.
  3. Refund Amount:
    1. We fully refund any payment if you decide to cancel participation before the start of the program. Written notice of cancellation shall be effective on the date the withdrawal is received by Pleiade Education System. Refunds will be made within 14 days following receipt of cancellation or withdrawal requests.
    2. If you cancel participation during the program (whether taking an absence leave or definitive withdrawal from the program), the refund amount will be prorated based on the portion of the program completed by the participant. There will be no refund for the portion of the program completed by the participant.
  4. Administrative Fees: no administrative fees shall be applied in case of refunding.

It is important for participants to carefully review our refund policy to understand their rights and responsibilities regarding refunds.
